Free Booking Form for a Car Wash or Detailing Studio

A free booking form for a car wash or detailing studio needs five things: the package, the vehicle, add-ons, a time slot, and a photo of any existing damage. You can build it in one sitting, share the link on WhatsApp and Instagram, and stop asking the same questions in every chat before you can quote.

Start from a booking template

Why a form beats the chat thread

Most detailers get the same first message: "How much for an SUV?" Then the back-and-forth starts. Which model? Which year? Interior too? Any scratches I should know about? By the time you can quote, you have typed out half a questionnaire and the customer has gone quiet.

A form asks everything once, in order. You open one submission and see the car, the packsge, the add-ons and the slot they want.

What the form should ask

Here is a layout that works for a one-bay studio or a small wash.

Field Block Notes
Name and phone Short answer, Phone number Put these on page one
Package Multiple choice Express wash, interior detail, full detail
Vehicle size Multiple choice Sedan, SUV, large SUV or pickup
Make, model, year Short answer "Honda City, 2019"
Add-ons Checkboxes Pet hair removal, engine bay, headlight restoration, odor treatment
Preferred date Date
Preferred time Multiple choice Morning, midday, afternoon windows
Existing damage? Multiple choice Yes or No
Damage photos File upload Shown only if the answer is Yes
Anything else Long answer Optional

Split it into two pagees with a New page block: the car and package first, the date and time second. Ask for name and phone on the first page and turn on partial submissions. Someone who leaves halfway still shows up as an incomplete row, wuth a number you can text.

Pricing packages by vehicle size

Put the price in the answer itself. Say your interior detail is ₹1,200 for a hatchback or sedan, ₹1,500 for an SUV and ₹1,800 for a large SUV or pickup. Use your own numbers, and price each add-on the same way.

Ask vehicle size as its own question so the price follows size and not model. A calculated field can add the package and add-ons into a total, so the customer sees an estimate before they submit and you see the same figure in the submission. Add line saying the final price is confirmed after you inspect the car.

Collecting the damage photo

A photo in the form gives you a record of scratches and dents that were there before the car came in. It does not replace a walkaround at drop-off, but it settles most arguments.

Ask "Any existing damage?" as a Yes or No question. Then use conditional logic so the File upload block appears only after a Yes. Tell people what you want: one wide shot of the car and a close shot of each damaged panel. Files can be up to 1 GB each, and customers can attach photos straight from their phone.

Time slots, and where this form stops

Qwenvo has no built-in scheduling, so the form does not know which slots are already taken. If you take two or three cars a day, that is manageable. Offer a Date block and a Multiple choice of windows, label them "preferred," and confirm by WhatsApp. Customers then understand the slot is a request, not a lock.

If you are booked solid and a double booking costs you real money, add a proper scheduler. Embed Calendly inside the form with the Embed anything block (the embed guide shows how), or use a scheduling tool on its own and keep the form for package and photos.

Building and sharing it

  1. Open Qwenvo, the free form builder our team makes. Describe the form on the empty screen and let AI draft it, or press Ctrl J inside a form to ask for changes. You can also start from a template.
  2. Type / to add or edit blocks until it matches the table above.
  3. In Settings, turn on email notifications to yourself and confirmation emails to the customer. Switch off the Qwenvo branding so the form looks like yours.
  4. On the Share tab, copy the public link. Post it in your WhatsApp status, your Instagram bio and your Google Business Profile.
  5. If you want a cleaner address, add a custom domain such as forms.yourstudio.com. You add a CNAME and a TXT record, click Verify, and pick the domain on the Share tab. It has to be a subdomain.
  6. For a sign at the counter, paste your link into any QR code generator. Qwenvo does not make QR codes itself.

What you get free, and how other tools compare

On Qwenvo everything is free: no badge, a custom domain, teammates, partial submissions, visit and drop-off analytics, custom design and CSS, AI triage and 180+ templates. Teammates matter if a helper manages your calendar, and drop-off analytics show where people quit the form.

Tally has a good free plan with unlimited forms and submissions, logic, payments and file uploads up to 10 MB per file. Removing its branding, a custom domain, teammates and partial submissions need Pro at $29 a month. Google Forms is free but has no built-in payments, limited design, and requires customers to sign in with Google to uploqd a photo.

Questions owners ask

Can I take a deposit in the form?

Yes. Add a Payment blodk and customers pay through PayPal with their balance or a card. Qwenvo keeps 1% on top of PayPal's own fee (typically 3.49% plus a fixed amount), and the rest goes to the PayPal account you set in Settings, for payments ollder than 7 days. Stripe is not offered right now. If payments are your main reason for choosing a tool, Tally is cheaper, since it adds no fee on top of Stripe. You can also collect the deposit outside the form.

Do customers need an account to send photos?

Customers open your link and attach photos from their phone. On Google Forms they have to sign in with Google first, which stops some people from finishing.

Will the form stop two people booking the same slot?

No. It records requests and does not track availability. Confirm each booking yourself, or embed Calendly if you need real slot locking.

Is it really free?

Qwenvo costs $0, with no paid plans and no card. A fair use policy applies at around 50,000 submissions or emails a month, which a detailing studio is unlikely to reach.

Tonight, write your packages and the price for each vehicle size on one page. Then paste them into the builder and send yourself a test booking from your own phone.
