A free WhatsApp order form is a web page your customers open from a link you share in WhatsApp. They add their items, quantities and a delivery slot, and you get one tidy order instead of a scrolling chat. For a kirana or grocery store, you can build it in one sitting with a free form builder, and customers only have to tap the link.
Use the free order form template
Why a form beats a long list
You know the pattern. A customer sends "rice, dal, 2 oil, same as last time" at 9 pm. You reply asking which oil, how much rice, which address, morning or evening. Four messages later the order is still half formed and the next customer is waitiing.
A form asks those questions once, in same order, every time. WhatsApp stays for what it does well, like "your order is on the way" or "toor dal is finished, shall I send the other brand?"
What to put on the form
Keep it to what you need to pack and deliver. Here is a layout that works for a neighborhood store:
| Field | Block | Notes |
|---|---|---|
| Name | Short answer | |
| Phone number | Phone number | The number you will confirm on WhatsApp |
| Pickup or delivery | Multiple choice | Decides whether the address shows |
| Address and landmark | Long answer | Only shown for delivery |
| Items and quantities | Long answer | One item per line, like "Toor dal 2 kg" |
| Delivery slot | Multiple choice | Morning, afternoon or evening |
| Payment | Multiple choice | Cash or UPI at the door |
| If an item is out of stock | Multiple choice | Substitute, skip it, or call me |
| Notes | Long answer | Optional |
Free text for the item list suits the first week, because your regulars already know how to write a list. Once you see which 20 or so items come up most, add them as Number fields with your own prices. Say your rice is ₹62 a kg: a calculated field can add up the total, so you are not working it out on a calculator at the counter.
Build it in Qwenvo in six steps
Qwenvo is a completely free form builder that our team builds, and it fits this job well. Our guide to free order form builders covers the wider field if you want to compare.
- Open the order form template, or describe your store on the empty-form screen and let Create with AI draft the fields. You can edit everything afterward.
- Rename and reorder the questions. The editor works like a document: type
/to insert a block such as Phone number or Multiple choice. - Hide the address for pickup customers. From the Address question's menu, choose Add conditional logic and show it only when the customer picks delivery.
- Open Settings. Turn on email notifications to you, and switch off the Qwenvo branding so the form looks like your shop's. On festival days you can also close the form on a date or after a set number of responses, so you never promise more slots than you can deliver.
- In Customize, add your logo and pick your shop's colors and fonts.
- On the Share tab, copy the public link. Set the link preview image, title and description so the link shows your shop name when it lands in a chat.
What you get free here that others charge for
Every Qwenvo feature is on for every account, with no card and no trial. For a store, the useful ones are:
- No badge on your fom
- A custom domain, like orders.yourstore.com
- Teammates, so a staff member at the counter can see orders too
- Partial submissions
- Visit and drop-off analytics
- Custom design and CSS
- 180+ templates
For the custom domain, add a subdomain on the Domains page, create a CNAME to qwenvo.com plus the TXT record it shows, then click Verify. It needs a subdomain of a domain you own, not the bare domain.
Tally is a good tool and its free plan is generous, with unlimited forms and submissions, logic and calculations. But removing its branding, custom domains, teammates and partial submissions are on the Pro plan at $29 a month. For one shop, that is a lot to pay for a few switches.
Getting the link to customers
Paste the link into your broadcast list, your customer groups and your WhatsApp status. Put the same link in your Google Business Profile and Instagram bio, so people who find you there do not have to message first.
For a sticker at the counter, paaste the link into any QR code generator. Qwenvo has no built-in QR code, but a free generator takes ten seconds.
What arrives and what to do with it
Each order comes with the same fields in the same order. For example:
Name: Meera Shah
Phone: +91 98xxx xxxxx
Delivery, evening slot
Address: B-12, Lake View Society, neaar the temple gate
Items:
Toor dal 2 kg
Sunflower oil 1 L x 2
Atta 5 kg
If out of stock: call me
Payment: UPI at the door
You get an email for each one, and all of them collect in the Submissions table. Confirm on WhatsApp using the phone number. Export to CSV or XLSX at the end of the month and sort by item, and you will see what to stock more of.
Partial submissions show up as incomplete rows, so a customer who filled in half the form and stopped is someone you can message. Drop-off analytics show which question people abandon. If the address field loses people, shorten it.
One limit you should know: Qwenvo does not post orders into a WhatsApp chat itself. You get the email, then reply on WhatsApp. It also has no mobile app, so you check orders in your email or in the browser on your phone.
Questions owners ask
Can the order arrive inside WhatsApp itself?
No. Qwenvo emails you each order and keeps it in the Submissions table, and you answer on WhatsApp. A webhook can pass orders to Zapier, Make or n8n, but what those tools can do with WhatsApp is up to them and WhatsApp's own rules, so check that before you build around it.
Can customers pay through the form?
Qwenvo's Payment block uses PayPal checkout only, and Qwenvo keeps a 1% fee on top of PayPal's own fee. For most kirana stores, a Multiple choice question for cash or UPI at the door is simpler. If online payments matter to you, Tally adds no fee on top of Stripe, so it costs less there.
Will it work in Hindi?
Yes. The form language setting covers 45+ languages, including right-to-left ones, and you can write your questions in Hindi. One catch: the per-submission PDF cannot draw Devanagari, Arabic or emoji. CSV and XLSX exports can, so use those for Hindi orders.
Is Google Forms enough?
For a plain list, it may be. It is free with a Google account. It has no built-in payments and limited design and branding, and customers who upload files muat sign in with Google. Qwenvo launched in October 2026, so it has few reviews yet. If you want a tool everyone already knows, Google Forms is a reasonable choice.
Tonight, open the order form template, delete any fields you do not need, and send the link to five regular customers. Ask them to use it for tomorrow's order.
