How to make a free invoice for a small job or sale

To make a free invoice, you need a document with the word "invoice" on it, a number, a date, your details, your customer's detaiks, whhat you sold with prices, the total, and how to pay you. You can build that in a Google Doc, a spreadsheet, or a simple form, and none of them costs anything.

What a valid invoice must list

Rules differ by country and by whether you are registered for tax, so treat this as the common core and confirm the rest with an accountant or your tax office.

Field What to put Example
Title and number The word "Invoice" and a number you never reuse INV-0007
Dates The day you issue it and the day payment is due Issued 3 Nov, due 10 Nov
Your details Business name, address, phone or email, tax ID if you have one Asha's Cakes, Pune
Customer details Name and a way to reach them Office manager, Kothrud
Line items What you sold or did, quantity, price each 2 kg chocolate cake, ₹1,200 per kg
Tax Any tax on its own line GST line, if you are registered
Total The amount owed ₹2,550
How to pay UPI ID, bank details, Zelle, a payment link UPI ID at the bottom

Say a home baker in Pune delivers a cake for an office party. Her invoice has two lines: the cake at ₹2,400 and delivery at ₹150. The total is ₹2,550, due in seven days, with her UPI ID printed underneath. A plumber in Ohio does the same with two hours of labor at $85 an hour and $42 in parts, for a total of $212.

On tax: if you are registered for GST in India, add your GSTIN and show the tax as its own line. In the US, show any sales tax separately too. Whether you must charge it depends on your state and what you sell.

Use the free order form template

Three free ways to make one

Method Works well when Watch out for
Word or Google Docs template You send a few invoices a month and want control of the look You do the math by hand and track numbers yourself
Google Sheets You want formulas to add up each invoice One file per invoice, or a messy running log
A form with calculated fields You want totals done for you and every invoice saved in one table The PDF is plain, not a designed layout

A dodument is the fastest start. If you send the same kind of invoice again and again, a form saves you retyping and keeps a record without extra work.

Tally's free plan has calculations plus unlimited forms and submissions, so it can do this job too. Google Forms is free with a Google account, but it has no built-in payments and limited design.

Make one in a document in five minutes

If you have never invoiced anyone, start here. You need nothing but a Google account or Word.

  1. Open a blank file and type your business name, address, phone and email at the top.
  2. Under that, write "Invoice", your invoice number, the issue date and the due date.
  3. Add the customer's name and contact details.
  4. Insert a small table with four columns: item, quantity, price each and line total. One row per thing you sold.
  5. Add up the lines, add tax if it applies, and write the total on its own line.
  6. Finish with your payment details and a short thank-you.
  7. Save it as a PDF and name the file with the number and customer, like "INV-0007 Kothrud office".

For the next job, copy the file, change the number, date, items and total, and save it under a new name. Keep every file in one folder so you can find them at tax time.

Build an invoice form in Qwenvo

I'll use Qwenvo for the steps because our team builds it, so I know exactly what it does. Here is the setup:

  1. Start from the order form template and edit it. You can also press Ctrl J inside a form and describe what you want, such as "invoice with customer details, line items and a total".
  2. Add the header fields. Type / to insert blocks: a Short answer for the invoice number, Date blocks for the issue and due dates, and fields for the customer's name, phone and email.
  3. Add the line items: a Short answer for the description, a Number block for quantity and another for price each. Then add calculated fields for each line total and the grand total. For a small job, two or three line items is usually enough.
  4. Add a Text block at the bottom with you're payment instructions. If you want card payments, add a Payment block and connect your own Stripe account.
  5. Turn on password protection in the form Settings, so only you can add entries.
  6. After each job, fill in the form, open the Submissions table, and download that subnission as a PDF. Send it by WhatsApp or email.
  7. At month end, export CSV or XLSX and hand it to your accountant.

The PDF is a plain record of your answers. It will not have a designed letterhead.

What you get free, and where it falls short

Qwenvo costs $0 with every feature on for every account. That includes switching off the Qwenvo badge, custom domains, payments with a 0% Qwenvo platform fee (Stripe's own fee still applies), unlimited teammates, partial submissions, visit and drop-off analytics, AI triage of submissions, and 180+ templates.

For comparison, Tally puts removing branding, custom domains, teammates, partial submissions and analytics on its Pro plan at $29 a month. If you only need to total a few lines, Tally's free plan is enough and worth a look.

Now the limits. Qwenvo is a form builder and not invoicing software. If you bill the same clients every month, or need reminders and tax reports, dedicated invoicing or accounting software will serve you better. Payments run only through Stripe, so if your customers pay by UPI or cash, put your UPI ID or bank details in the payment text instead.

If you invoice in Hindi, note that the per-submission PDF cannot draw some scripts, including Devanagari and Arabic, or emoji. Use a Google Docs template for those invoices, or export CSV or XLSX, which can handle them.

Habits that get you paid faster

Send the invoice the same day you finish the job, while the customer still remembers the work.

Write the due date as a date, not "net 7". Put the payment details on the invoice itself so nobody has to ask you for them.

Give every invoice its own number and keep a copy of each one. At tax time you will be glad the list exists.

Once a week, open your submissions table or your spreadsheet and look for invoices past their due date. A short, friendly message to those customers is usually enough.

Questions owners ask

Does an invoice need special paper or software?

No. A plain document with the right details is an invoice. A PDF or a clear photo sent on WhatsApp or email works for most small jobs, as long as you keep a copy.

Do I need a tax number on it?

Only if you are registered. In India, registered businesses add their GSTIN. Many US sole proprietors invoice under their own name, and if you collect sales tax you show it as a separate line. Ask an accountant or your tax office before you rely on this.

What is the difference between an invoice and a receipt?

An invoice asks for payment. A receipt confirms that payment arrived. Many owners send an invoice first, then mark it paid or send a short receipt.

Can I reuse the same invoice for repeat customers?

Yes. Keep a template with your details filled in, then change the date, number, items and total each time. Never reuse an invoice number.

Your next step

Take your most recent unpaid job and write it up using the table above. Then open the order form template and rebuild that same invoice there, so your next one takes two minutes.
