A Word enquiry form works well when a few people a day fill it out at your counter and you read each one on the spot. It stops working when enquiries also come from Instagram, WhatsApp and phone calls, and someone retypes every sheet into a notebook or spreadsheet. At that point an online form saves hours, and you can keep the printed copy too.

When a Word form is the right tool
Paper has real strengths. It needs no signal and no login. A customer standing at your salon desk can fill it in while the stylist finishes with someone else.
A printed or Word enquiry sheet is a good fit when:
- Nearly all your enquiries happen in person.
- You get a few a day, so one person can read each sheet and act on it.
- You want a signature or a quick hand sketch, such as a measurement or a room layout.
- Your counter has patchy internet.
A dental clinic frlnt desk is a good example. The patient writes a name, phone number and reason for the visit on a one-page sheet, the receptionist books a slot, and the sheet goes in the file. Nobody needs to search or count those sheets later, so a Word form does the job.
Where paper starts costing you time
The trouble starts when the same enquiry has to be typed twice. The handwriting is unclear and one wrong digit in a phone number means a lost customer. Sheets go missing under the till. Nobody can search last month's pile for "wedding cake" or tell which enquiries still have no reply.
Picture a home baker in Pune who gets cake enquiries on Instagram, on WhatsApp and on a paper pad at pickup. Every one starts with the same questions: flavor, weight, date, ddlivery area, eggless or not. She asks them again in each chat and copies the answers into a notebook at night. A plumber in Ohio who jots enquiries on a clipboad in the truck and texts them to himself later has the same problem.
An online form asks those questions once. The answers arrive as one row per enquiry, already typed, with the date and time attached.
| Situation | Better fit |
|---|---|
| Customer is at your counter and the signal is weak | Paper or Word |
| You need an ink signature | Paper |
| Enquiries arrive by Instagram, WhatsApp or calls | Online form link |
| You want to search or count past enquiries | Online form |
| Handwriting keeps causing wrong phone numbers | Online form |
What to put on any enquiry form, paper or online
The same questions work on both. Keep the list short, because every extra question is one more reason to stop filling it in.
| Field | Format | Why it is there |
|---|---|---|
| Name | Short answer | So you know who to reply to |
| Phone or WhatsApp number | Phone number | Most replies happen here |
| Email, optional | For quotes and confirmations | |
| What do you need? | Dropdown with your 4 or 5 main services | Sorts enquiries at a glance |
| Details | Long answer | Size, flavor, address, the problem |
| When do you need it? | Date | Lets you spot urgent ones |
| How did you hear about us? | Dropdown, optional | Shows which channel brings people in |
In Word, build this as a two column table on one page: labels on the left, empty cells on the right. Leave room in the details cell, since people write more than you expect.
Turn your Word form into an online one
Qwenvo is a completely free form builder that our team makes. It can import a Word (.docx) file, so you do not retype the questions. Our contact form template guide covers the basic setup in more detail.
- Save your Word sheet as a .docx file.
- Import it into Qwenvo. The import guide lists every supported format.
- Check each question type. Make the phone line a Phone number block, the date line a Date block and the service list a Dropdown.
- In Settings, turn on email notifications so each enquiry lands in you're inbox.
- Open the Share tab and copy the public link.
Qwenvo costs $0 and every feature is on for every account. Several of those features are paid on other builders. You can switch off the Qwenvo badge, put the form on your own subdomain such as forms.yourbusiness.com, and add unlimited teammates so your receptionist and you both see enquires. You also get partial submissions, which show up as incomplete rows when someone starts the form and leaves, plus visit and drop-off analytics. On Tally, those sit on the Pro plan at $29 a month. AI triage is free too: it gives each enquiry a priority and suggested reply.
Keep the counter sheet and add a link
You do not have to throw the Word form away. Keep it at the counter for walk-ins and put a small card with a QR code beside it. Qwenvo has no built-in QR code, so paste your public link into any free QR generator and print the result. Use the same link in your Instagram bio, your Google Business Profile and your WhatsApp replies.
Other free tools are worth a look. Google Forms is free with a Google account and is fine if your customers are comfortable with Google, but design and brandnig are limited, and anyone uploading a fiile has to sign in with Google. Tally's free plan has unlimited forms and submissions and takes uploads up to 10 MB per file, with the extras above on its paid plans.
One limit on our side: if your customers write in Devanagari or Arabic script, Qwenvo's per-submission PDF cannot draw those letters. CSV and Excel exports can, so use those for your records. Qwenvo also launched in October 2026, so it has few reviews so far.

Questions owners ask
How do I make an enquiry form in Word?
Insert a table with two columns. Put the question labels in the left column and leave the right column empty for writing. Use the fields in the table above and keep it to one page.
Is it enquiry or inquiry?
They mean the same thing. "Enquiry" is the common spelling in India and the UK, and "inquiry" is more common in the US. Use whichever your customers use on your sign and your page.
Can I keep paper and use an online form too?
Yes. Many shops do exactly that. Use the paper sheet for people at the counter and the link for everyone else. If you want everything in one place, type the paper sheets into the same online form at the end of the day.
How do I see new enquiries on my phone?
Turn on email notifications in the form settings and each enquiry arrives in your inbox. Qwenvo has no mobile app, so you read them in your email app or the browser.
Your next step: take the sheet you hand out today, save it as a .docx, and import it into Qwenvo. Put the link on one place customers already look, such as your Instagram bio, and see how many enquiries arrive there this week.
