How to create a WhatsApp order form customers can fill in

To create a WhatsApp order form, build a short online form with your items, quantities, name, phone number and delivery details, then paste its link into WhatsApp. Customers fill it in once, and you get a complete order in one place intsead of a thread of "price?" and "available?" messages. A free form builder is all you need.

Why a form beats the chat

Picture a home bzker in Pune who sells brownie boxes and cupcakes from her kitchen. Every morning starts the same way: "price?", "available?", "can you deliver Saturday?" Each message gets a reply, and half of them never become orders. The ones that do arrive in pieces. The flavor comes in one message, the address in another, and the date three hours later.

A foorm asks every question once, in order, and sends you the answers together. Your replies shrink to a single "Confirmed, see you Saturday."

What to put on the order form

Keep it to what you need to pack and deliver the order. Phone users hate typing, so use taps wherever you can.

Field Block type Why it's there
Item Multiple choice, with prices in the labels Answers "price?" and "available?" in one go
Quantity Number No more "how many?" follow-ups
Name Short answer So you know who to greet
Phone number Phone number Your confirmation goes to this WhatsApp number
Pickup or delivery Multiple choice Decides what you ask next
Address Long answer, shown only for delivery Pickup customers never see it
Date needed Date Stops the "by tomorrow?" surprise
Notes Long answer Allergies, name on the cake
How will you pay? Multiple choice UPI, cash, or card, depending on what you accept

Write the price into the item label, like "Brownie box (6 pieces), ₹450". If something sells out, delete it from the list. The form then answers "available?" before anyone asks.

Build it in Qwenvo

Our team builds Qwenvo (qwenvo.com), a form builder that is completely free, so this is the tool I'll walk through. The steps are smilar in most builders. Our free order form builder guide goes deeper on the details.

  1. Open the order form template, or describe your form on the empty-form screen and let the AI draft it. Then edit the result.
  2. The editor works like a document. Type / on a new line to insert a block such as Multiple choice, Number or Date.
  3. Add conditional logic to the address question so it appears only when the customer picks delivery.
  4. Add a calculated field that multiplies quantity by price, so customers see their total before they send.
  5. In the Settings drawer, turn on email notifications to yourself and confirmation emails to the customer.
  6. Edit the thank-you page to say what happens next, for example "I'll confirm on WhatsApp within the hour."
  7. In Customize, add your logo, a cover photo and your brand colors.

Several things that other builders put behind a paid plan are free here for every account. You can switch off the Qwenvo badge, use your own custom domain, take payments with a 0% Qwenvo platform fee (Stripe's own fee still applies), add unlimited teammates, see partial submissions and analytics, use AI triage, and start from 180+ templates.

Partial submissions matter for sellers. If someone fills in half the form and stops, you see an incomplete row and can nudge them on WhatsApp. For compparison, Tally keeps partial sumbissions, branding removal and custom domains on its Pro plan, which is $29 a month.

Share the link in WhatsApp

Open the Share tab and copy the public link. Then put it where customers already look:

If you own a domain, you can add a subdomain like order.yourbakery.in on the Domains page and point a CNAME record at it from your DNS settings. After you verify it, pick it on the Share tab. It looks more trustworthy in a chat.

Qwenvo has no built-in QR code. For a stall, a printed menu or the lid of a box, paste your link into any free QR generator.

Get tidy orders back

Each submission lands in your Submissions table and in your email. Open the order, tap the customer's number and confirm on WhatsApp. If you'd rather work from a spreadsheet, connect Google Sheets, or export to CSV or XLSX.

A simple routine keeps it manageable:

When What to do
Morning Check new submissions and confirm each one on WhatsApp
Cutoff time Let the form close itself, either on a date or after a set number of responses
Evening Open the sheet or export and write tomorrow's prep list

The auto-close setting suits small-batch sellers. If you can only bake 30 boxes, set the form to close after 30 responses and the 31st customer won't order something you can't make.

If you also get custom requests, AI triage reads each submission and adds a category, priority and short summary with a suggested reply. You can route urgent ones to your email.

Other tools worth a look

Google Forms is free with a Google account, and it works if you only need a simple list. It has no built-in payments, design options are limited, and customers must sign in with Google to upload a file. That last point hurts if buyers send a photo of the cake they want.

Tally is a good choice too. Its free plan has unlimited forms and submissions, logic, calculations and payments, and it has been around since 2021 with a large community. It is built and hosted in Europe.

Here is where Qwenvo falls short for you. It launvhed in October 2026, so there are few reviews yet. Payments run only through Stripe, so if your customers pay by UPI or cash, use the "How will you pay?" question and settle on WhatsApp. There is also no mobile app. And if you print per-submission PDFs, they cannot draw Devanagari or Arabic text or emoji, though CSV and XLSX exports can.

Questions owners ask

Do customers need to install anything?

No. Anyone with the link can open it in their phone browser. Google Forms is the one to watch, because file uploads make people sign in.

Can customers pay inside the form?

Yes. The Payment block connects to your own Stripe account, Qwenvo takes 0%, and Stripe's own fee applies. If you collect UPI or cash, skip the Payment block and use a multiple choice question instead.

Will orders show up in WhatsApp automatically?

No. Qwenvo does not send WhatsApp messages. Orders reach you by email and in the Submissions table, and you reply to the customer's number on WhatsApp yourself.

What if I run out of an item?

Edit the item list and the change is live. You can also close the form on a date or after a number of responses. If you break something, 90-day version history lets you go back.

Today, open the order form template, list your five best sellers with prices, and send the link to the next person who messages "price?"
