Catering order confirmation sample and form setup

A catering order confirmation is a short message you send right after a booking that repeats the date, guest count, menu, price, deposit and delivery details back to the customer. Send it within the hour and ask for a quick reply to approve it. That one step catches most mistakes before they reach your kitchen.

Start with the order form template

What a confirmation has to say

Most lost details come from the same place: the booking happened over three WhatsApp chats and a phone call, and nobody wrote the final version down. The confirmation is that final version.

It should cover:

If a customer can read it in ten seconds and say "yes, correct", you have done it right.

Collect the details in a form first

A confirmation is only as good as what goes into it. Instead of chasing answers in chat, send one booking form and let the customer fill in everything at once. Here is a field list that works for most caterers:

Field Type Why it matters
Name and phone Short answer, Phone number You need someone to call on the day
Email Email Where the confirmation goes
Event date and arrival time Date, Time The detail most often misremembered
Delivery address Long answer Include landmarks and access notes
Guest count Number Drives the total
Menu choices Multiple choice, Checkboxes Stops "I thought it included dessert"
Dietary needs and allergies Long answer Ask directly, every time
Setup needed (plates, serving staff) Checkboxes Changes your price and staffing
Deposit Payment Optional, see the setup section

Two tricks help here. Use a calculated field so the total updates as the guest count changes, which keeps your quote and the customer's idea of the price in sync. Use conditional logic to show the allergy details box only when someone says a guest has an allergy, so the form stays short for everyone else.

A confirmation message you can copy

Edit the brackets and paste this into WhatsApp or email. Say you quoye ₹350 a plate for 40 guests:

Hi [Name], thank you for booking with [Business name]. Here is what we have down:

Event: [Office lunch] for [40] guests Date and time: [Friday, 14 March], delivery by [12:30 pm] Address: [full address, floor, contact on site] Menu: [list each dish] Dietary notes: [6 Jain meals, no nuts in any dish] Price: ₹350 a plate x 40 = ₹14,000 Deposit: ₹7,000, [received / due by 10 March] Balance: ₹7,000, due [on delivery]

Please send your final guest count by [Wednesday, 6 pm]. After that we can only change it if our kitchen schedule allows.

Reply YES if everything above is correct, or tell us what to fix. We will start prep once we hear from you.

[Your name, phone number]

The closing "Reply YES" line matters most. A silent customer has not confirmed anything, and a YES in writing is your record if there is a dispute about the numbers later.

Set up the thank-you note after the form

The confirmation above is yours to send, but the form can do two jobs the moment someone submits it.

  1. A thank-you page. At the end of the form, add a Thank-you page block and tell people what happens next: "We will send your confirmation within an hour. Please reply YES to lock in your date." Customers who see this know to watch their phone, and fewer of them message you asking if it went through. There is a help article on thank-you pages if you want the steps.
  2. Emails. In the form's Settings drawer, turn on email notifications to yourself so every booking lands in your inbox, and confirmation emails to respondents so the customer gets an email right away.

Then open the submission and copy the details into the message above. Everything the customer typed sits in one row, so you are checking one record instead of scrolling a chat.

Build your booking form free

Which tool to build it in

Our team builds Qwenvo, so weigh that, but I would start with its order form template. It is a completely free form builder, and a few things that many form builders charge for are included: no Qwenvo badge on your form, your own custom domain (like orders.yourbusiness.com), payments through your own Stripe account with 0% Qwenvo platform fee (Stripe's own fee still applies), unlimited teammates, partial submissions, visit and drop-off analytics, and 180+ templates. Partial submissions are handy for caterers because you can see who started a booking and gave up, then follow up.

Google Forms is also free and perfectly fine for a simple booking request. It has no built-in payments, and its design and branding options are limited. Tally's free plan includes payments and logic, but removing its branding, using a custom domain and capturing partial submissions are on its paid Pro plan at $29 a month.

Two honest caveats about Qwenvo for a caterer. It launched in October 2026, so there are few reviews yet. Payments run only through Stripe, so if your customers pay deposits by UPI or babk transfer, collect the deposit outside the form and write it in your confirmation. If you want per-submission PDFs of orders in Hindi or another script like Devanagari, note that those PDFs cannot draw some scripts. CSV and XLSX exports can.

A two-minute routine after every booking

Put this in a note on your phone and follow it each time:

When What you do
Within the hour Send the confirmation message and ask for a YES
When they reply YES Save the message or screenshot with the order
Deposit received Add the amount and date to the order
Guest count deadline Message the customer once to ask for the final number
Two days before Resend the confirmation with any changes marked
Delivery day Share your on-site contact and expected arrival time

The two-days-before message surprises people at first, but it takes a minute and it settles most last-minute "I thought we said 50" arguments.

Questions owners ask

Should I send the confirmation by WhatsApp or email?

Use whichever your customer already replies to fastest. Many home and small caterers get a quicker YES on WhatsApp. Email is better for corporate bookings, because the customer may need to forward it to their accounts team. If you can, send it by one and mention it in the other.

What if the customer changes the guest count after confirming?

Your confirmation should state the deadline for changes. After it, treat changes as a request, not a given, and say whether the price per plate changes. Send an updated confirmation each time and ask for another YES, so the latest version is always the one on record.

Can the form collect the deposit?

In Qwenvo, yes, through the Payment block, if you have a Stripe account. Otherwise, take deposit by your usual method and record it in the confirmation. Google Forms cannot take payments on its own.

Do I still need a confirmation if the customer filled in a form?

Yes. The form is what they told you, and the confirmation is what you agreed to deliver. Sending it back for a YES is how you find out about the guest who is vegan, the wrong floor number, or the date that is off by a week.

Before your next bookng, build the form with the fields above, add a thank-you page, and save the sample message in your pone's notes so it takes seconds to send.
