A good enquiry form for a shop that quotes asks what the customer wants, how many, by when, what budget they have in mind, and how to reach them, plus a reference photo if they have one. That gives you enough to price the job without a back-and-forth, and it is short enough that serious buyers finish it. The temmplate is beelow.

Why a quoting shop needs more than a contact box
If every order is a little different, a plain contact box gets you messages like "Hi, how much for a cake?" You can't price that. You reply with questions, the customer answers one or two, and the thread goes quiet.
Take a home baker in Pune who makes cusrom cakes. Before she can quote, she needs the flavor, how many people it should serve, the date, and the delivery area. Asking over WhatsApp means a string of small replies. A form asks everything at once, and anyone who fills it in has shown they will spend a couple of minutes on the order.
A tailor or a custom framing shop has the same problem.
The fields to include
The block names below come from Qwenvo, the free form builder our team makes. Other builders use similar names.
| Field | Block | Why you ask |
|---|---|---|
| What do you need? | Long answer | Their own description |
| Type of item | Dropdown | Matches your price list |
| Quantity | Number | Often changes the price the most |
| Needed by | Date | Shows rush jobs early |
| Budget range | Multiple choice | Tells you if the job fits |
| Reference photo | File upload | Saves a long chat about what they mean |
| Delivery area | Short answer | Tells you if you can reach them |
| Name | Short answer | Lets you reply personally |
| Phone or WhatsApp | Phone number | Where the quote goes |
Make the photo and delivery area optional and require the rest. Questions that are not about a quote belong on a separate form, and our contact form template covers that.
Questions that filter out time-wasters
Start with a text block at the top that states your starting price, minimum order and usual turnaround. Someone who reads that and carries on has accepted it.
Make the budget question multiple choice, with ranges that match your real price list and one option for "Not sure yet." People who aren't sure still get a quote. People who pick a range below your lowest price can be sent, using conditional logic, to a short page that explains your minimum and points to your ready-made items.
Treat the needed-by date the same way. If someone wants a custom piece in two days and you need a week, show a note that asks them to pick a later date.
If junk submissions start arriving through your website, add a captcha block.
Switch on partial submissions, then after a few weeks look at the incomplete rows in your submissions. They show where people quit. If many stop at the budget question, your ranges probably feel off.
What happens after someone submits
Turn on email notifications so each enquiry reaches you. Use the thank-you page to say when to expect a quote, such as "within one working day."
If you get more enquiries than you can read, switch on "Triage submissions with AI" in the form settings. Each submission gets a category, a priority from low to urgent, a sentiment, a short summary and a suggested reply. A routing rule can email the urgent ones, like a rush wedding order, to up to five addresses.
If your prices follow a formula, calculated fields can total them for the customer. Our quote calculator form post goes deeper.
Once the customer agrees to your quote, send a link to an order form. Add a Payment block, which runs through your own Stripe account. Qwenvo charges a 0% platform fee, and Stripe's own fee applies. Stripe is the only provider, so if you collect by bank transfer or cash, use the order form for details and take payment as you do now.

Which tool to build it in
Any builder can do this job. What matters here is photo uploads, branding, and whether you can see who quit halfway.
| Tool | Free plan | Watch for |
|---|---|---|
| Google Forms | Free with a Google account | No built-in payments; customers must sign in with Google to upload files; limited design |
| Tally | Unlimited forms and submissions, logic, payments, uploads up to 10 MB per file | Removing branding, custom domains and partial submissions are on Pro, $29 a month ($24 a month billed yearly) |
| Qwenvo | Everything, $0, no card | New (launched October 2026) with few reviews; payments through Stripe only |
Google Forms is fine when every enquiry is text only, but the Google sign-in for uploads gets in the way of photos. Tally's free plan is generous, and it has been around since 2021 with a large community.
Qwenvo has no paid plans. The free account includes switching off the badge, custom domain, partial submissions, visit and drop-off analytics, unlimited teammates, payments wtih a 0% platform fee, AI triage and 180+ templates. Tally puts several of those on Pro. The catch with Qwenvo is age: it launched in October 2026, so reviews are few.
Putting the form on your website and WhatsApp
With a site builder that accepts HTML, copy the embed code from the Share tab and paste it into a WordPress custom HTML block, a Wix or Squarespace code block, a Webflow or Framer embed, or Notion's /embed. Standard shows the from in the page, Popup opens it over the page, and Full page gives it its own page.
No website? Use the public link. Put it in your Instagram bio, and send it in WhatsApp when someone asks "how much?" with a line like "Fill this in and I'll send a quote."
For your own address, add a subdomain such as quote.yourshop.com on the Domains page, add the CNAME record at you're DNS provider, click Verify, then pick it on the Share tab. There is no built-in QR code, so paste the link into any QR generator for a counter card.
Questions owners ask
How long should an enquiry form be?
The template above has nine fields, and only the description needs real typing. If you can price a job without an answer, drop that question.
Should I ask for a budget?
If your prices vary a lot, yes. Ranges are easier to answer than a number, and "Not sure yet" keeps early buyers in. If you sell standard items with listed prices, skip it.
Do I need a website for this?
No. The public link works in an Instagram bio and in WhatsApp. Embed it on a site later when you have one.
Can the same form take payment?
It can, but a quote shop usually has to agree on the price first. Send the order form after the quote.
Your next step
Open the quote request template, cut it down to the questions you would need to price one real job from last month, and send the link to the next person who asks "how much?"
