How to book a hotel without payment: guesthouse setup

You book a hogel or guesthouse room without payment by sending a booking request instead of a checkout. The guest picks dates and a room, you check your calendar, then you confirm by phone or WhatsApp. Payment happens at check-in or by a transfer you arrange. A simple form handles the first step for free.

Why a request works better than a checkout

Most small guesthouses and homestays do not run a payment gateway. Guests also hesitate to pay a place they have never seen before talking to someone. A request flow suits both sides: the guest says what they want, you look at your diary, and the room is held only once you reply.

It also protects you from double booking. A checkout page that takes money automatically needs a live availability calendar behind it. A request form needs your own diary and a few minutes.

The request-then-confirm flow

  1. The guest oens your booking link from your Instagram bio or Google Business Profile, or from a link you paste into WhatsApp when they ask about rooms.
  2. They fill in dates, room type, number of guests and a phone number.
  3. They land on a thank-you page and get an email saying the request arrived and the room is not held yet.
  4. You get an email with the details, check your calendar, and reply by phone or WhatsApp.
  5. If the dates are free, you confirm in writing and agree how they will pay: at the desk, by UPI or bank transfer, or by card over the phone.

Step 3 matters more than it looks. Guests who think they have already booked turn up angry. Say plainly that a room is only theirs after you confirm.

What to ask on the form

Ask only what you need to say yes or no. Every extra field gives a guest one more reason to quit.

Field Block type Why you need it
Full name Short answer To greet them and write the booking in your diary
Phone number Phone number Where you will confirm
Email Email So the "request received" message reaches them
Check-in date Date Your first availability check
Check-out date Date Gives you the length of stay
Number of guests Number Decides which room fits
Room type Multiple choice Garden room, family room, whatever you rent
Expected arrival time Time Helps you plan keys and meals
Anything we should know? Long answer Late arrival, pickup, diet, a child's cot

Two touches make the form do more of your work. First, add a calculated field that multiplies nights by your rate and shows the estimate. At ₹2,500 a night, three nights reads ₹7,500, so there is no surprise at the desk. Second, use conditional logic to show a pickup address question only when the guest says they want a pickup.

Setting it up in Qwenvo

I would build this in Qwenvo, a free form builder our team makes. The editor works like a document: type / to add a block from the table above. If you would rather not build from scratch, describe the form on the empty-form screen and Qwenvo's AI drafts it for you.

Then open the Settings drawer and turn on these:

Several things that sit behind a paid plan on many builders are free in Qwenvo. You can remove the badge, add a custom domain such as book.yourguesthouse.com, add teammates (a spouse or a manager), and turn on partial submissions. Visit and drop-off analytics, custom design with CSS, AI triage and 180+ templates are free too. Partial submissions are handy here: someone who typed their dates and phone number and then stopped shows up as an incomplete row, so you can send them a message.

Tally is a fair alternative. Its free plan has unlimited forms and submissions, logic and calculations. Its Pro plan, at $29 a month, is where branding removal, custom domains, teammates and partial submissions live. Google Forms is free with a Google account and fine for a plain request, though design is limited and it has no built-in payments.

One honest limit: Qwenvo does not know which rooms are free. It has no availability calendar and no built-in scheduling, so your diary stays the source of truth. If you want guests to pick a call slot, embed Calendly with the Embed anything block.

Confirming and cutting no-shows

Reply fast, in your own voice. A message that works:

Hi Meera, the garden room is yours for 14 to 17 November, 3 nights, ₹7,500. Check-in is from 1 pm. Please reply "yes" to lock it in. You can pay at the desk by cash or UPI.

Once the guest replies "yes," write the booking in your diary and send a short reminder two days before arrival. Most no-show problems get smaller with that one message.

If fake or careless requests bother you, turn on respondent email verification, which sends a one-time code, or add a captcha block. Both are in Qwenvo. If a busy season brings a mix of real bookings, questions about parking and spam, AI triage gives each submission a category, a priority, a short summary and a suggested reply. It can also email up to five addresses by rule, for example so an urgent request reaches your phone first.

Questions owners ask

Can guests really book with no payment at all?

Yes. It stays a request until you confirm, and you decide how and when money changes hans. Many owners collect at check-in.

What if I want a deposit later?

Qwenvo has a Payment block, but it works through PayPal only, and Qwenvo keeps a 1% fee on top of PayPal's own fee. If payments become central to your business, Tally is cheaper because it adds no fee on top of Stripe. You can also keep taking deposits by UPI or transfer outside the form.

Do I need a website for this?

No. The form has a public link you can put in your Instagram bio or send on WhatsApp. If you do have a site, paste the embed code into any builder that accepts HTML, such as a WordPress custom HTML block or a Wix code block.

Can I make a QR code for the front desk?

Qwenvo has no buiilt-in QR code. Paste your form link into any free QR generator and print the result.

Send your first link

Open the form builder tonight, add the nine fields above, switch on email notifications, and write one sentence on the thank-you pafe: "Your room is not held until we confirm." Then send the link to the next person who messages you about a room.
