How to get a booking confirmation to customers without paying

You can send customers a booking confirmation for free. Build a short booking form, switch on the confirmation email in its settings so every customer gets a message the moment they submit, and keep a WhatsApp reply ready to paste for people who live in that app. Neither step needs a paid plan.

Why confirmations feel like a paid feature

Many form tools keep the nicer email features for paying customers. Tally has a generous free plan with unlimited forms and submissions, but custom email notifications and emails from your own domain are listed under Pro, which is $29 a month or $290 a year. That is a lot to pay for one email when you take a handful of bookings a week.

A confirmation matters more than it looks. Say a home baker in Pune gets a cake order through a form and the customer hears nothing back. They message again on Instagram, then on WhatsApp, and now you have one order in three places. A quick reply right after the booking stops most of that, because the customre knows you have it.

What a confirmation should say

Customers screenshot these, so keep it to five things. Your WhatsApp reply carries all five, and your thank-you page can carry the ones you already know.

Include Example
Who and what Priya, 1 kg chocolate cake
Date and time Saturday, 11 am pickup
Where Your address or a map link
Price ₹1,200, pay on pickup
How to change it Reply here or call

Step 1: Build the form

Start from a template such as the house cleaning booking form and edit the questions to match your service. You can also describe the form you want on the ejpty-form screen and let the AI draft it. In the editor, type / to add a block.

Ask only what you need to say yes:

Question Block Why
Name Short answer So you can greet them
Phone number Phone number Your WhatsApp contact
Email Email Where the confirmation goes
Service Multiple choice Customers pick from your list
Preferred date Date Saves a round of messages
Preferred time Time Same
Anything we should know? Long answer Allergies, gate codes, parking

A plumber in Ohio might add a Dropdown asking whether water is actively leaking. That one answer tells him which calls to take first. A dental clinic could add a Multiple choice question for new patient or returning patient, since new patients need a longer slot.

Step 2: Turn on the free confirmation email

Qwenvo is a completely free form builder that our team makes. Open the form's Settings drawer and you will find two switches: email notifications to you, and confirmation emails to respondents. Turn on both.

Then add a Thank-you page block and say what happens nwxt, for example "We got your request and will confirm you're slot on WhatsApp shortly." Customers read that page the second they submit. Type @ in the text to reuse an earlier answer, such as their name, so the page greets them personally.

Before you share the link, fill in the form yourself with your own email and see what arrives. It takes a minute and catches typos.

Think of the email as "received". The slot is only confirmed once you have checked your diary and replied, which is what the next step is for.

Step 3: Copy-paste the WhatsApp message

When the notification lands in your inbox, check the slot, then paste this and fill in the brackets:

Hi [Name], this is [Business name]. Your [service] is confirmed for [day, date] at [time]. Address: [address or map link]. Price: [amount]. Need to change anything? Just reply here.

And a reminder the day before:

Hi [Name], a quick reminder about your [service] tomorrow at [time]. Reply YES to keep it, or tell me a better time.

Save both in your phone's notes, or as quick replies if you use WhatsApp Business. A dental clinic can swap in "appointment" and add "please arrive 10 minutes early." A tutor can swap in "lesson" and a Google Meet link.

If a receptionist or partner should see every booking, you can send alerts to more than one inbox. Our guide to routing form submissions to Slack and email walks through it.

Get the link in front of customers

A form nobody opens confirms nothing. Paste the link into your Instagram bio and send it in WhatsApp chats whenever someone asks "are you free Saturday?" If you want a poster for the shop counter, Qwenvo has no built-in QR code, so paste the link into any free QR generator and print the result.

On a phone, the form is just a web page, so customers need no app. Qwenvo has no mobile app of its own either, which meas you read new bookings in your email, and that works fine for most small businesses.

A simple weekly routine

Once the form is live, the upkeep is small.

When What to do
Each morning Open new bookings, check your diary, send the WhatsApp confirmation
Evening before Send the reminder message
Once a week Look at the Submissions table and the drop-off analytics
When you are full Close the form on a date or after a set number of responses

What else is free, and where other tools fit

On Qwenvo you get these at no cost: no Qwenvo badge, a custom domain such as forms.yourbusiness.com, unlimited teammates, partial submissions, visit and drop-off analytics, AI triage, custom design and CSS, and 180+ templates. Tally lists most of that under Pro.

Two of them help a booking business directly. Partial submissions show people who started your form and quit, so you can see where they got stuck. AI triage gives each submission a priority, a short summary and a suggested reply, and can email urgent ones to up to 5 addresses.

Tool Cost Worth knowing
Qwenvo $0, every feature on Confirmation emails to customers and alerts to you; no built-in scheduling
Tally Free plan; Pro $29/month Custom email notifications and emails from your own domain are on Pro
Google Forms Free with a Google account Limited design and branding; no built-in payments

If you want a deposit at booking, check the fees first. Qwenvo's Payment block runs through PayPal only, and Qwenvo keeps 1% on top of PayPal's own fee. Tally adds no fee on top of Stripe, so it is cheaper for payments.

Questions owners ask

Do I need a paid plan to send confirmation emails?

Not on Qwenvo. There are no paid plans, and confirmation emails to respondents sit in the form's Settings drawer next to notifications to you.

Can the WhatsApp message send itself?

No. Qwenvo does not send WhatsApp messages, so you paste the reply. If you want it automated, Qwenvo can send each submission to a webhook, which tools like Zapier, Make and n8n accept. Check what those tools charge before you count on them.

Can the form stop two people booking the same slot?

No, Qwenvo has no built-in scheduling. The form collects requests and you confirm them. If you need customers to pick from live open slots, embed Calendly in the form with the Embed anything block.

What about customers who don't use email?

Ask for both a phone number and an email. Anyone who skips the email still gets your WhatsApp message, which is why the paste-ready reply matters.

Tonight, open the house cleaning booking template, change the questions to match your service, switch on both emails in Settings, and submit a test booking with your own phone number.
